Cold Outreach Email Best Practices (With Templates)

May 2026

Cold outreach is hard. The average response rate is under 3%. But the best cold emailers get 15-20%. Here's what they do differently.

1. Research before you write

Spend 2 minutes on LinkedIn or their company website. Find one specific thing that shows you didn't just copy-paste.

Bad: "I saw you're in marketing."

Good: "Congrats on the Series B — saw it on TechCrunch last week."

2. The subject line is 80% of the battle

If the subject line sucks, the email never gets opened. Keep it under 6 words, specific, and curiosity-driven.

3. Be brief. Ruthlessly brief.

Your email should be readable on a phone screen without scrolling. Aim for 80-100 words. Every sentence must earn its place.

4. Lower the friction

The easier you make it to say yes, the more replies you get.

Bad: "Can we schedule a 30-minute call to discuss?"

Good: "Worth a 5-minute call this Thursday?"

5. Follow up (politely)

Most replies come from follow-ups, not the first email. Send 2-3 follow-ups spaced 3-5 days apart. Each one should add value, not just say "bumping this."
